What is a location?
A location is where you host your sessions. For example, this could be a room, a gym, a hall, a pitch or anywhere else a session may be held. A location needs to have a capacity to ensure that the number of children allocated to a session does not exceed the capacity of that location.
Why must I add a capacity to my location?
A location capacity is important because it determines how many children can safely and comfortably occupy the space. The capacity is usually set based on safety regulations and guidelines to ensure that the room does not become overcrowded and that there is enough space for children to move around freely, play, and engage in activities.
It also helps maintain a safe environment by preventing overcrowding, reducing the risk of accidents or injuries, and allowing for effective emergency procedures in case of any unforeseen situations.
Ultimately, having a location capacity ensures that you can host multiple sessions in one location - while controlling where the spaces for your sessions are sold, but also staying within the capacity.
How does this work?
This is probably best explained as an example.
If you have a single location with a capacity of 10:
- In Caerus you can create any amount of sessions at this location, which run at the same time
- Each session can have a maximum number of 10 spaces
- Therefore, each session will show “10 spaces available”
- When a single space is sold in one session, it will also be reflected in the other session. Eg, You will see that there are now only 9 spaces available in each session.
- When all 10 location spaces have been sold, both sessions will be fully booked out and children can only be added to the waiting list for either of these sessions.
- Therefore, for example, at this location, these 2 sessions could have sold:
- 10 spaces in one, none in the other
- 5 spaces in one and 5 in the other
- 7 spaces in one and 3 in the other
- However, crucially, at no point in time will there be more than 10 spaces sold
Additionally, you can also add a session capacity. The session capacity cannot exceed the capacity of the location in which it is hosted. For example:
If you have a single location with a capacity of 10:
- In Caerus you create 2 sessions at this location, which run at the same time, and each session has a capacity of 5.
- In this scenario, this means the spaces sold in this location must be split equally between the sessions - 1 session could be fully booked (all 5 spaces are occupied) while the other one still has availability but neither can have more than 5 children booked into them
